Recommendations of Dec 25, 2009 general meeting

Recommendation 1:
The Board and the Executive Committee (EC) are commended and appreciated wholeheartedly for the tremendous responsibilities they have shouldered in managing and running the Masjid and all the associated activities and religious affairs to their utmost abilities The Masjid membership recognizes that these few brothers are short handed as they handle a very heavy load in accomplishing their tasks in serving the community. Their families are also appreciated and thanked for enduring their absences and the support they offer so that these brothers are able to achieve their mission and duties.

Recommendation 2:
The Masjid membership, the Board, and the Executive Committee commend wholeheartedly the efforts exerted towards establishing the basis for hiring an Imam to serve the community in many of its needs, some of which are long overdue. In addition, the Masjid membership acknowledges all those who have been diligent to express their support, not only with words, but more importantly in securing their financial commitment to underwrite the Imam initiative.

Recommendation 3:
The officers of the Board/EC shall remain in office for the current full term, and shall continue to serve in their respective positions. There shall be no resignation by any member of the Board or the Executive Committee at the present time.

Recommendation 4:
The Board is to move immediately and form a new committee to be tasked with addressing all issues related to hiring an Imam. This committee is to be charged with a clear mandate and with an expedited time-line to realize its mission, as follows:

1- Address all issues related to steps required for hiring, job description; contract drafting, and all governmental paper work;

2- Assess the fund required to support the hiring and maintenance of a full time Imam position;
3- Examine the preparedness of the community, with measurable milestones, to raise the fund required to support a full time Imam position;

4- Evaluate whether (or not) allocating resources to hiring the Imam would impact, and to what extent, any other Masjid needs, such as maintenance, expansion, etc.

5- Establish an overseeing authority to ensure that the Imam's performance does not only satisfy contractual agreement with the Masjid, but also that his role to be deemed consistent with the expectations of the Masjid membership and the general community;

6- Develop a mechanism to ensure availability of future fund in the likely case that the Imam's contract to be renewed for further terms.
This committee should consist, at least in part, of people who run businesses and supervise employees.

Recommendation 5:
The Board/EC are urged to finalize the bylaws as soon as possible, but no later than January 31, 2010. The bylaws will be posted on the Majid’s website for the community to see. A general body meeting will be scheduled for final ratification by the Masjid membership.

Recommendation 6:
The Board/EC is to convene general body meetings, preferably on quarterly basis. In these meetings, they inform the general membership of the status of their tasks, progress on the various initiatives, deliver a financial report, and explain the bottlenecks they face in realizing their mission. Equally important is that the Board and EC would solicit with open heart feedback and input from the membership. The Board/EC would then incorporate the feedback in their operation accordingly.

Recommendation 7:
The Board and EC shall embark upon serious and tangible efforts to expand their seats, by means of nomination, consultation, and approval by the general membership to include more office holders. This will make the Board and the EC more productive and efficient and will result in equitable sharing of the laborious tasks of serving the community.

Recommendation 8:
All email communications of important issues, such as the Imam, shall include as recipients all those who are involved in the process, the Board and the EC, and all others who are pertinent and concerned members of the community. Complete transparency and clarity in all important initiatives shall be the mode of operation in the Masjid.
